Privacy notice

MailHive stores account, workspace, campaign, lead, draft, integration, delivery, and AI-conversation records needed to provide the service. Workspace data is isolated by database access policies.

Connected services

If you connect Google, MailHive requests permission to send Gmail messages and read spreadsheet values you select. If you separately link a Google Drive product-knowledge folder, MailHive also requests read-only Drive access so it can read supported files in that folder and its subfolders. MailHive does not request inbox-reading, Drive-writing, or spreadsheet-writing access. OAuth refresh tokens are encrypted at rest and can be revoked from Settings.

Product knowledge

Uploaded product documents are kept in private storage. For uploaded documents and linked Drive files, MailHive extracts text and stores source metadata so the selected AI playbook can answer from approved material. Drive originals remain in Google Drive and are not modified or deleted by MailHive.

Lead and email data

You are responsible for having a lawful basis to store and contact each lead. MailHive records unsubscribes, bounces, complaints, and delivery events to prevent unwanted future contact.

AI sales conversations

When a participant consents, MailHive processes live microphone audio to hold the conversation and stores the text transcript, business facts they choose to share, and an outcome summary for the workspace owner. MailHive does not store raw call audio. Participants should not share payment-card numbers, bank details, tax or government identifiers, passwords, sign-in codes, medical information, or documents in a conversation. AI-generated qualification, selling, and coaching outputs are reviewed by a person and are not an approval, underwriting decision, or offer of service.

Service providers

MailHive uses Supabase for authentication and database services, Vercel for application hosting and AI routing, OpenAI for live AI conversation audio and post-call analysis, Google APIs when connected, and Resend when domain delivery is enabled. Their processing is governed by their respective terms.

Contact and deletion

Workspace owners can request access, correction, export, or deletion of their account and workspace data at privacy@mailhive.ai.

This operational notice should be reviewed by qualified counsel before broad commercial launch, particularly for the jurisdictions in which MailHive will be offered.
